Finance Operations Specialist (Remote | Part-time)

GrowthMate is a remote-first link-building agency helping businesses grow through white-hat outreach and editorial backlinks.

We’re looking for an experienced Finance Operations Specialist to manage our financial operations independently, with strong ownership and attention to detail.

Responsibilities

• Issue client invoices, track incoming payments, and manage accounts receivable.
• Process payments to team members, contractors, and service providers.
• Monitor bank balances and cash flow, and plan upcoming payments.
• Maintain financial records and categorize expenses in QuickBooks and Google Sheets.
• Prepare regular financial reports for the CEO.
• Prepare and verify financial data and supporting documents for US tax reporting, coordinate with an external accountant or tax service, and track deadlines and filing completion.
• Maintain financial documentation, including invoices, agreements, bank statements, and W-8/W-9 forms.
• Resolve payment and documentation issues in collaboration with internal teams.

Requirements

• Proven experience in financial operations, including invoicing, payments, accounts receivable, and reporting.
• Practical experience maintaining accounting records for US companies and preparing financial data and supporting documents for tax reporting in collaboration with an external accountant or tax service.
• Practical knowledge of QuickBooks and Google Sheets.
• Experience managing multiple bank accounts, payment platforms, and international transactions.
• Working knowledge of W-8/W-9 documentation.
• Intermediate English or higher for working with financial systems, documentation, and correspondence.
• Strong attention to detail and accuracy.
• Ability to manage deadlines independently, follow tasks through to completion, and proactively resolve issues.
• Availability for approximately 20 hours per week on average, with a higher workload during the first ten days of the month and fewer hours later in the month.

Nice to have

• Experience independently preparing and submitting US tax returns. Independent filing experience is a plus, not a requirement.
• Experience with Ukrainian sole proprietor (FOP) invoicing and tax reporting, including the Ukrainian taxpayer portal.
